Agree who sets up, who removes items and when rentals must return. Keep routes and exits clear, and ask the venue to approve the final placement. Check names and table numbers before printing; decoration changes should not delay the guest information or replies needed to finalize the seating plan.

If a rental must return while you are away, the handover needs a backup contact and transport, not just a label saying ‘take home’.
