The final wedding guest reminder: arrival, parking and changes
Write a useful update for guests who have already replied, with clear arrival instructions and a contact who is not the couple.
A final reminder is not another RSVP request. Tell confirmed guests what they need to do next: when to arrive, which entrance to use and where to find the current details. Send different instructions to groups with different plans.
Use the practical worksheet ↓Give an arrival window, not just a ceremony time
Check when the venue actually admits guests. A 15:00 ceremony does not mean people can arrive at 13:30 while suppliers are setting up. Public wedding discussions describe this exact mismatch. Confirm a realistic arrival window with the venue, then include the parking entrance and any walking time. The example below uses invented times; replace them with approved arrangements.
Separate pickup time from departure time
For shuttle users, name the waiting spot and distinguish being ready from the vehicle leaving. Include the final return and a confirmed alternative if someone misses it. Do not assume rideshares operate at a remote venue. A transport operator recommends both direct messages and a persistent information page; keep their details identical when a plan changes.
Give your short reminder a clear invitation link for the full details. Try the public sample below before creating yours.
The embedded Toscana sample is public and in English. It is not a customer invitation.
Send the change to the people it affects
Family photos, getting ready and reception-only arrival need separate messages. Include the important facts in the message rather than only saying ‘see our website’. Name a willing day-of contact, with permission to share their number. If the location changes, say what changed and what stayed the same, update the invitation and contact anyone who has not seen an urgent update.
Put it into practice
Write the message each guest group actually needs
Worked example · fictional, not a customer story. Replace the details with your own confirmed arrangements.
Your ceremony starts at 15:00, doors open at 14:30, and evening guests arrive at 19:00. A single ‘see you at 14:30’ broadcast would invite the evening group too early. Prepare separate messages, preview the recipient lists, and keep a dated copy of each. Your arrival window must come from your venue, not this example.
If your situation changes
- Only shuttle riders need an update
- Message that group with the waiting spot and departure time. Keep unrelated transport instructions out of other guests' reminders.
- The entrance changed
- Put ‘new entrance’ and the actual address in the message, update the invitation, and directly follow up on urgent unread changes.
- Nothing has changed
- A short arrival reminder is enough. Do not resend an entire planning document or reopen the RSVP question.
Make your own plan
Replace the example prompts with your notes. Copy the worksheet before leaving this page; it is not saved here.
Your notes stay in this page’s memory and are masked from session replay. We count editing and copying actions, not the text you enter. Avoid sensitive details; copied notes go to your device’s clipboard.
You are done when… Someone outside the planning group can identify where to go, when to arrive and whom to contact from the message alone.

Questions and answers
Should every guest receive the same reminder?
Only when the instructions genuinely apply to everyone. Do not tell reception-only guests to arrive for the ceremony or ask all guests to join the family photos.
Does updating the invitation notify everyone automatically?
Do not assume it does. Update the information and separately share important changes through a channel your guests use. A page view does not prove every guest read the update.
