Working the timeline backwards

Every wedding timeline is arithmetic run backwards. You have one fixed date, and four decisions hang off it: when the save the date goes out, when the invitations go out, when you stop accepting replies, and when your caterer gets a number. Work forwards from today and you are guessing. Work backwards from the wedding and each date falls out of the one below it. Give the calculator the wedding date and it returns the four windows in order, drawn on one track from today to the day itself.

Why the windows are ranges

Six to eight weeks for the invitation is not vagueness; it is the difference between a local Saturday where half the guests live twenty minutes away and a holiday weekend where everyone is competing for the same flights. Push to the early end of every window when a lot of guests travel, when the date falls on a public holiday, or when the list has families who need to arrange childcare. Pull to the late end when the wedding is local, the list is small and everyone has had a save the date for months. Both ends of a range are correct; the middle is not more correct than either.

What the destination toggle widens

Tick the destination box and every window widens, because your guests are buying flights rather than a card for the gift table. The save the date moves from six-to-nine months out to nine-to-twelve. The invitation becomes a single date rather than a window, about twelve weeks before, so flights and leave are booked against details that are already final. The reply deadline moves back to six to eight weeks, and the caterer’s headcount to two or three. Two rows are convention, two belong to the venue

The reply deadline and the caterer’s headcount are not convention. Your caterer or venue coordinator decides when final numbers are due — usually one to two weeks before the day — and the RSVP date sits one to two weeks in front of that, which is why the calculator lands it three to four weeks before a local wedding. Reading the track

The shaded stretch behind today’s line is time already spent; a window drawn hatched inside it has passed, and the badge on its card says so in words — opens in so many weeks, opens this week, open now, or window has passed. A passed window is not a disaster, it is a favour you are asking: send as soon as you can, say plainly that the notice is short, and phone the people whose absence would change the day. Skipping save the dates entirely? Move the invitation earlier than the local window shown — about three months, ten to twelve weeks at the very shortest — because it is now the first your guests have heard of the date. When the dates look right, copy the timeline out and write the reply-by date into the invitation itself, where nobody can miss it.
