The venue sets this date, not tradition

The calculator offers the four windows caterers, hotels and halls ask for most often — seven, fourteen, twenty-one or twenty-eight days before the wedding — and that one figure is the only fixed point in the calculation. These are the conventional windows, not a measured statistic; if your venue names a date that falls between them, pick the next window up and move the result by hand. Get it in writing before you print or publish anything.

The calculator subtracts that window from your wedding date and takes another fourteen days off the result: that is the reply-by date to put on the invitation. It shows two more dates beside it — when to send, ten weeks before the wedding, and when to send one reminder, a week before the reply-by date — and draws all of them on one track, with the fortnight before the venue’s cut-off hatched so you can see the room it leaves.

Why the two weeks matter

Those extra two weeks are the part couples leave out, and leaving them out is what turns a deadline into a fortnight of phone calls. Replies arrive incomplete as often as they arrive late: a guest replies for two and brings three, a surname is missing, a meal choice is blank, a plus-one was never agreed. Two weeks of slack between your reply-by date and the venue deadline is what makes the number trustworthy. For most weddings that puts the deadline three to four weeks before the day — treat that as a sanity check on the result, not as a substitute for asking the venue.

Late repliers are normal

They are not a moral failing. Most of them are waiting on a babysitter, a shift rota or a flight price. Plan for them instead of resenting them: keep the chasing in one place rather than across four group chats, ask the quiet ones directly rather than reading silence as a no, and hold a short reserve of seats if the venue allows it. One warm message a week before the reply-by date recovers most of the list. The chase is far easier when something already tells you who is missing, which is the practical argument for collecting replies on the invitation rather than by text.

Ink fixes the date; a link does not

A printed card fixes the deadline in ink. If the venue moves its cut-off, if a public holiday lands badly, or if a whole branch of the family replies late because of travel, the printed answer is a reprint. A digital invitation is one link: change the date on the page and every guest who opens it sees the new one, including the ones who opened it last month. Nothing is re-sent and nothing contradicts itself.

One reply-by date, not three

Pull the date earlier than the calculator suggests when guests need real notice — a destination wedding, visas, long-haul flights, or a date inside a holiday period. The calculation gives you a floor, not a ceiling. And give guests one reply-by date, not three: asking separately for the ceremony, the dinner and the bus is how a guest list quietly loses twenty people.
